How to Map Deduction Reasons to GL Accounts

To automate the deductions process map reason codes to their corresponding GL item.

  1. Select Settings on the left hand nav

  2. Select Map GL to Deduction Reasons

  3. Navigate through the deduction reasons you use and input the Deduction Item or Invoice Item from your ERP that correlates

  4. Custom Label: You can also rename the reasons if your terminology is different

  5. Click Save at the bottom of the page

  6. Attached below is a list of all Confido reasons

Note: Bulk Uploading Deduction Reason Mappings

There is currently no way to bulk upload deduction reason mappings. Each deduction reason must be mapped individually to its corresponding GL item using the steps above. If you have a large number of reasons to map, plan to work through them one at a time on the Map GL to Deduction Reasons screen.

What type of item should my deduction items be in NetSuite?

If you use NetSuite, every Deduction Item you map to a Confido deduction reason must be a non-inventory item in NetSuite. Confido puts the mapped item on each deduction line of the credit memo it creates in NetSuite, and NetSuite items can't post directly to an AR (accounts receivable) account. Each non-inventory item carries the GL account that the deduction posts to.

To set up NetSuite deduction items:

  1. In NetSuite, create one non-inventory item for each GL account you want deductions to post to, for example one item for retailer chargebacks and one for spoilage.

  2. Link each non-inventory item to the GL account you want to track.

  3. In Confido, go to Settings → Map GL to Deduction Reasons and select the matching non-inventory item in the Deduction Item field for each deduction reason.

  4. Click Save.

After you save, new deductions with each reason post to the linked GL account on the next credit memo Confido creates in NetSuite. If a non-inventory item doesn't appear in the Deduction Item dropdown, confirm the item is active in NetSuite, then contact your Confido team.

Creating a New Deduction Reason

The steps above cover mapping your existing deduction reasons to GL accounts. If you need an entirely new reason (rather than renaming or mapping an existing one), that's done separately under Automation Tools > Reasons. Note: creating a new reason isn't recommended as a first option, since it requires you to build out all of the corresponding classification logic for that reason from scratch. In most cases, renaming an existing reason's Custom Label (see above) covers the need without the added setup work.
